Information used and why
When you browse: our hosting and security providers process technical request information, such as IP address, requested URL, browser details, time and security events, to deliver and protect the website. Our basis is our legitimate interest in operating a reliable and secure site.
When you email: we receive your email address, any name you provide, your message and attachments. We use them to answer and manage your enquiry, based on our legitimate interest in communicating with people who contact us. Where an enquiry relates to a legal obligation, we may process the relevant information to meet that obligation.
Please include only what is needed for your enquiry. Do not send medical records, passwords, payment details or sensitive information about other people.
What this website does not collect
There is no account registration, checkout, contact form, AI chat or customer database on CloserVisits.com. We have not installed advertising pixels, behavioural profiling or a separate visitor analytics script. We do not sell personal information or use enquiry emails to enrol people in marketing.
Providers and linked websites
The website is hosted through OpenAI Sites, with Cloudflare delivery and security infrastructure. Email routing and handling use Namecheap and Google services. These providers process the information needed to perform their roles. Information may also be shared with advisers or authorities where reasonably necessary to address a legal obligation or claim.
Providers may process information outside the UK. Where transfers are restricted by data-protection law, applicable safeguards must be used, such as an adequacy decision or approved contractual protection. Contact us for information about a particular transfer.
Links to PatientVille and future CloserVisits worlds lead to separate websites. Their chat, account or transaction practices, where available, are covered by their own policies. This website does not receive their private conversations or purchase records.
How long information is kept
We keep correspondence for as long as reasonably needed to answer the enquiry and handle related follow-up, disputes or legal duties. Retention depends on the nature and sensitivity of the message and any applicable record-keeping requirement; routine enquiries should be deleted when no longer needed. Hosting and security records are subject to the providers’ retention controls and are not copied into a CloserVisits visitor database.
Your choices and rights
Depending on the circumstances, you can ask to access, correct or erase your information, restrict its use, object to processing based on legitimate interests, or request portability where applicable. We may need to verify your identity proportionately. These rights are subject to legal conditions.
